6 Ways to Organise an Outstanding Online Event

In the new norm, many of the things we take for granted have to be viewed in a different light. If you’re organising an event, it’s quite likely that you’ll have to do it online instead of face to face.

Wondering how to do it? Well, we asked the Quest Pharmacy Students Society, who just organised a four-day long virtual health campaign (yup, you read that right. FOUR DAYS!).

How did they do it? Read on to find out!

Know what you want to achieve 

Firstly, identify your goal. It’s important to shape your goal according to your online circumstances – a face to face event might have different goals than an online event. 

Identifying your goal is crucial because it’s then easier to make sure all the activities in the event lead you to your goal. 

Plan, But Plan to be Exciting 

Be original, unique and interesting. When you plan the activities that make up your events, make sure you do so with your audience in mind. What would they want to see and enjoy?Don’t let them get bored. 

Have meetings frequently and get advice from your lecturers/ event supervisor. Make sure to plan for fundraising activities and sponsorships. 

Find the Right Platform

Without the right platform, even the most fun activity can fall flat. Be aware of what you want to achieve and what features you will need to do that. 

Online events aren’t all the same. An event streamed live on Google Meet has a different target compared to an event streamed live on YouTube. It’s important that you know the difference, so you have to do some homework. 

Thankfully, everything is now available online. You can learn what will be the ideal platform for your event in a matter of minutes – just Google. 

Organise Your Team

This is just like a normal event. You need to delegate your task list to different committees. Make sure you get the right people to do the right things. 

Do you have some creative teammates who are good at design? Give them the promotional poster task. The well-spoken one can be the host or emcee. The one with 2 million Instagram followers should handle social media. Don’t overthink it.

Find Good Guest Speakers

If your event includes online talks or seminars, you have to choose the right speakers. It might help to get someone who’s already built a name for themselves, and who has a dedicated fan base. 

Of course, it can also be a new face, but if so, make sure you listen to them first. Are they the right person for the job? Remember, they have to make your event a success.  

Talk to them about your goals, your expectations, and what you want to get out of your whole online event.

Promote your Event 

Now the fun part – it’s time to promote on social media! Create a new Instagram account or Facebook page and start posting content consistently. It can be infographics, fun facts, short videos and stories, or even behind the scenes photos.

If you have external guests or speakers, get the speakers to promote on their own platform. You can also choose to pay for Instagram or Facebook ads. Regardless, all your team should help repost and promote the content on their personal accounts.
