Presentation Format and Guidelines

Authors of accepted abstracts are invited to submit their pre-recorded videos once payment of registration fee is successful. All oral, poster and workshop sessions will be pre-recorded and uploaded to a designated repository, with the instructions listed below. A separate set of guidelines will be emailed to keynote and invited speakers as well as authors of abstracts selected for live presentations. With the exception of live presentations, all pre-recorded presentations will be played during the parallel sessions of the SEMB 2021 conference (4-5 December 2021) on Whova following the designated themes. The pre-recorded presentations will be available to all registered participants for a period of six months after the conference dates.

PowerPoint Presentation Guidelines

Oral and Workshop Presentations

  • The oral and workshop presentations are capped at 15 minutes and one hour respectively.
  • The first slide should contain the following details:
    • Logo of your institution (if applicable).
    • List of authors and affiliations.
    • A passport-sized image of the presenter, located at the top right of the slide.
    • Title of the presentation.
  • The font size used for your presentation should be large enough to be read on video.
  • Workshop presenters have the option of conducting their presentations in either English, Bahasa Melayu or Mandarin.
  • All oral presentations should be conducted in English.

Poster Presentations

  • The poster presentation is capped at three minutes.
  • Presenters are free to design their poster in any fashion using any design or presentation software provided that the following details are included in the poster design:
    • Logo of your institution (if applicable)
    • Title of presentation
    • List of authors and affiliations
    • Introduction
    • Methodology
    • Results and Discussion
    • Conclusion
    • References
  • Posters should be single-paged, in landscape orientation and maximised for visual details.
  • The font size used for your presentation should be large enough to be read on video.
  • Presenters can also use the poster template provided here  for guidance.
  • Presenters may opt to use the Voice-over-PowerPoint (available in PowerPoint 2016 and 2019) to record their presentations by creating a PPTSX file, which can then be saved as an MP4 file prior to submission. Guidelines on using this tool are available here. Large-sized files can be compressed prior to submission. Presenters may otherwise use Zoom or Google Meet to record their presentations (instructions provided in the following subsections).
  • All poster presentations should be conducted in English.

Essential Instructions

All presenters must adhere to the following guidelines:

  • It is recommended that the videos are set at a height of 480 pixels and an aspect ratio of 16:9.
  • All videos must be converted to the MP4 format prior to submission.
  • Please label your files as (SEMB2021_NAME_THEME_POSTER/ORAL/WORKSHOP), e.g., SEMB2021_SITI KHATIJAH_THEME 1_WORKSHOP.
  • All videos should be uploaded via WeTransfer at https://wetransfer.com/, addressed to semb_papers@qiu.edu.my before 15 November 2021. WeTransfer allows files up to 2GB to be transferred for free. A notification email will be sent by the SEMB 2021 Academic and Technical Committee to acknowledge receipt of the video.

Video Preparation Recommendations

  • Your recording should be composed of high-quality audio and video. As such, please use devices (laptops, desktops, mobile phones or other suitable devices) that allow the production of high-quality recordings.
  • Your headphones should ideally have an in-built microphone to provide clean audio recording. Alternatively, presenters can opt to position themselves closer to their devices for louder audio recording.
  • All video recordings can be conducted using the following tools:
    • Your device’s in-built camera and the corresponding recording application
    • Google Meet. Instructions for using this tool are available here.
    • Zoom. Instructions for using this tool are available here.
    • Any tool deemed appropriate for the set of instructions listed in the following points.
  • Recordings should be conducted in the landscape position, with the camera located at the eye level. The video frame should ideally include the head and upper body. Please ensure that you are looking at the camera level while conducting the recording.
  • Ensure that the recording is conducted at a quiet location.
  • Ensure that your location is lit adequately. Avoid dark or brightly lit locations. A lamp can be placed to improve the lighting in the recording location. Front or side lighting is preferred. Avoid lighting or lamps in the background (including from windows).
  • The recording location should be clean, organised and free from clutter. If this is not achievable, a virtual background can be used for your recordings.

Terms and Conditions

  • Please ensure that all virtual backgrounds and logos used in your presentation have been approved and sanctioned by your institution.
  • Please ensure that your videos are original and do not infringe on any copyrighted material and authorised by your institution. Material obtained from other authors and content creators should be appropriately cited and credited in your presentation.
  • The Academic and Technical Division of SEMB 2021 reserves the right to reject video submissions and request for resubmissions if the current submission violates the stipulated guidelines and regulations.
  • The presenters are solely responsible for ensuring that the video fits the stipulated timing and can be clearly viewed and heard prior to submission.
  • The SEMB 2021 will not be responsible for any post-production editing and added effects to the submitted videos.
